What this notice covers
This notice applies to the Aria AI website and receptionist platform. A business using Aria controls the caller information it asks us to process; Aria acts as its service provider for that information.
Information we process
We process account details, workspace settings, agent instructions, connected knowledge, telephone metadata, call audio when recording is enabled, transcripts, summaries, leads, appointments and product usage. We also process technical logs needed to secure and operate the service.
Why we use it
We use information to answer and route calls, complete approved actions, provide call records and analytics, bill for usage, prevent abuse, troubleshoot problems and improve reliability. We do not sell personal information.
Voice infrastructure and connected services
Aria uses Retell as voice infrastructure in the first version. A workspace may also connect calendars, CRM systems, messaging providers and billing services. Those providers receive only the information required to perform the connected action and operate under their own terms.
Recordings and caller notice
Recording requirements vary by location. Each workspace is responsible for choosing an appropriate consent message and lawful recording configuration. Recordings and transcripts can be disabled, retained for a selected period and removed according to workspace instructions.
Security and separation
Workspace data is isolated by membership and role checks. Credentials stay on the server, uploads use private object paths, and webhook requests are verified before call or billing records are updated. No system can promise absolute security, so we continuously review safeguards and access.
Your choices
Workspace administrators can correct business data, change retention preferences, export call information and request deletion. Callers should contact the business they called first, because that business decides how caller data is used.
